The English-Language Arts Network (ELAN) is a not-for-profit organization that connects, supports and creates opportunities for Quebec’s English-speaking artists and arts communities. ELAN members are individuals and organizations from a wide array of artistic disciplines, cultural and geographic backgrounds and linguistic and cultural communities. This network reflects an evolving Québec identity and celebrates the province’s cultural, artistic and social diversity.
ELAN’s Executive Director reports to a board of 17 members and works with a staff currently composed of five full-time employees, as well as support staff (bookkeeper, IT), project staff, short-term employees and students. Full-time core staff: Director of Operations, Program Manager, Project Manager (Quebec relations), Communications Coordinator and Membership Coordinator. ELAN’s Executive Director maintains relations with a broad variety of artistic and community organizations (English and French) as well as funders, elected officials, and policymakers.
- Oversee the ongoing operations of ELAN and ensure that it fulfills its Mission and Mandate,
- Work with the DoO on developing and implementing staff policy,
- Work with Program Manager and support staff to develop staff work plans and track progress,
- Work with HR committee on ELAN’s HR functions: salary reviews, staff evaluations, job descriptions and application of ELAN’s HR policies,
- Contribute to the budgeting and financial operations of the organization,
- Lead strategic planning and development of new projects and initiatives,
- Promote ELAN and its members and represent them at public events,
- Advocate on behalf of ELAN and its members and maintain positive relations with funders and elected officials,
- Work with Executive Committee to support recruitment of new board members,
- Contribute to the planning of public events including ELAN’s Annual General Meeting,
- Work with DoO and Program Manager to ensure that ELAN’s revenue base remains diverse and adequate for ELAN’s needs.
ELAN’s activities encompass an extensive range of areas. The candidate should be able to demonstrate an understanding of current issues in these areas or an interest in acquiring a deep knowledge of them:
- artistic disciplines (dance, film, music, theatre, visual arts, writing),
- cultural programs and policy (federal, provincial and municipal),
- federal official language funding programs and policy,
- Quebec culture/politics, including an understanding of the unique role of language in the province,
- Quebec’s English-speaking communities, including regional and marginalized populations.
- Experience managing a team,
- Excellent English skills and a working knowledge of French (written and oral),
- Demonstrated interest in the arts,
- Ability to handle challenging situations with tact,
- Experience working with funding bodies and government officials,
- Commitment to inclusive and anti-oppression practices.
- Experience in the arts as an artist (formally or informally),
- Experience in remote team management,
- Experience working with Indigenous communities,

Part-time Membership Assistant (Young Canada Works contract)
ELAN Quebec Seeks: Part-time Membership Assistant
Duration: 11 weeks, 15 hours per week
3 Month Contract

Location: Montreal, Quebec
ELAN (English Language Arts Network) is a non-profit organization devoted to helping Quebec’s English-language artists
connect with one another, with their francophone colleagues, and with audiences in Quebec, Canada, and internationally. Our
members include artists and organizations representing many artistic disciplines and regions of Quebec. ELAN encourages an
evolving Quebec identity that celebrates social, cultural, and artistic diversity.
This position will provide valuable experience for candidates considering a career in arts and cultural administration,
marketing, and communications, especially in the not-for-profit sector.
With the day to day supervision of the Membership Services Coordinator and additional guidance from the Executive Director,
the Membership Assistant will help ELAN staff optimize our membership database; and improve services and outreach to
priority groups identified in ELAN’s Inclusion Plan.
The Membership Assistant will have the following duties:
● Membership database optimization
○ ensure smooth user experience of member sign-up, account management, and renewal processes;
○ identify data analysis procedures to be integrated into internal workflows and decision-making, including tracking
engagement among inclusion priority groups and delivering monthly statistical reports at staff meetings;
○ develop external communications materials to assist members in using the database
● Ongoing marketing and membership outreach campaigns
○ prepare membership-related content for ELAN’s digital communications (social media, blog, website, monthly email
● Member communications
○ Communicate with current, new, and renewing members, principally in English, to ensure they understand and are able to
use the benefits and services available to them through ELAN, and to promote and educate on the database and PWYC
○ Follow up with recently lapsed and inactive members to invite feedback and/or renewal
○ Assist ELAN staff in researching and implementing improvements to ELAN’s membership services, and preparing for
changes in demand
○ Assist ELAN staff and Inclusion Committee to assess outreach strategies as identified in ELAN’s Inclusion Plan
○ Assist with membership recruitment, engagement, and retention strategies based on priorities of inclusion and accessibility
o Research, writing, and communication through email, by phone, in person, and online will be involved.
This position is funded by the Government of Canada through Young Canada Works (YCW) in Both Official Languages. You
must meet program criteria to be eligible for this position.
You are eligible if you:
• are a Canadian citizen or a permanent resident, or have refugee status in Canada (non-Canadians holding temporary work
visas or awaiting permanent status are not eligible);
• are legally entitled to work in Canada;
• will be between 16 and 30 years of age at the start of employment;
• are willing to commit to the full duration of the work assignment;
• will not have another full-time job (over 30 hours a week) during the YCW work assignment;
• Are a full-time high school, college, CEGEP or university student (as defined by their educational institution) in the Fall 2021
• intend to return to full-time studies in the winter 2021 semester;
• have a excellent knowledge of English and basic French

● Candidate should be pursuing a post-secondary university, CEGEP or college degree in arts and cultural management, arts
administration, general or fine arts, communications, social sciences, marketing, or business.
● Intermediate to excellent spoken and written English, and a basic knowledge of French
● Excellent interpersonal communication skills (to be used internally with colleagues and externally with members) and
● Good organizational skills e.g. task prioritization, attention to detail in written work and
● Resourceful, with creative problem-solving skills, and the capacity to work autonomously
● Familiarity with Microsoft Office suite (Excel, Word) and email
● Knowledge of Mailchimp, WordPress, and/or databases/CRM (customer relations management) platforms
● Experience with data analysis
● Experience with membership outreach and development in the non-profit sector
● Knowledge of or proven interest in arts and culture or Quebec communities
● Experience or deep understanding of challenges facing artists who experience marginalization

Consultants with Provincial Grant Writing Experience
ELAN is currently looking to work with consultants with provincial grant-writing experience!
ELAN is seeking qualified individuals to join its roster of Quebec Relations Grant Consultants. Grant Consultants will work directly with applicants via Zoom to offer feedback and editing assistance that will allow applicants to learn key grant-writing skills and submit their applications for Quebec-based funding with greater confidence.
As part of our Québec Relations project, ELAN offers one-on-one grant assistance to artists and arts organizations preparing applications to public funders in Quebec, including CALQ, SODEC and la Ministère de la Culture et des Communications, as well as various other ministries of the provincial government (Ministère du Tourisme, Ministère des Affaires municipales et de l’Habitation, etc.). Consultants will work with Québec Relations’ Project Manager according to demands for services and their availability to:
- Set availability each month with the Project Manager;
- Receive referrals for grant assistance from the Project Manager and ensure the applicant’s completion of an intake form;
- Conduct up to 6 hours of Zoom sessions with each applicant;
- File a brief exit report when sessions with the applicant have concluded and ensure the applicant completes our feedback survey.
Ideal candidates should possess relevant skills and experience including:
- Grant-writing experience, either in a freelance capacity or with an arts organization;
- Knowledge of Quebec’s public funding system, in the arts and/or other sectors (e.g. tourism, regional development);
- Familiarity with funders’ grant programs and institutional priorities;
- Ability to help applicants tailor their applications with a particular funder’s evaluation criteria in mind;
- Grant budget preparation and formatting;
- Experience teaching grant-writing skills through workshops, one-on-one services, etc.;
- Ability to work independently;
- Experience with municipal (e.g. Conseil des arts de Montréal) or federal (e.g. Canada Council, Heritage Canada) grant programs is not required but considered an asset.
